Billing & Collection Specialist

This position is responsible for preparing invoices to be issued to clients, updating internal records related to project and collection status and collecting on past due invoices. It is also responsible for monitoring the progress of projects, investigating variances to budget, and working with the project manager to resolve any of these issues. This position will report directly to the Project Accounting Manager. Responsibilities include, but are not limited to:
  • Maintaining billing folders for assigned projects with all the appropriate documents including proposals, expenses, third party consultant invoices, and monthly client invoices
  • Reviewing proposals/contracts in order to calculate billings correctly
  • Reviewing project costs to ensure accuracy of client invoices
  • Researching any unbilled issues for review with manager
  • Preparing final invoice package for assigned projects, including all applicable backup
  • Issuing invoices to clients through various channels (mail, e-mail etc.)
  • Issuing client account statements monthly
  • Reviewing account balances to discover outstanding debts or other inconsistencies
  • Contacting clients regarding initial invoices, past due payments
  • Updating accounting records with new payments, balances, client information
  • Sending reminders for payments and contacting clients when assigned
  • Answering questions and handling inquiries from clients regarding invoices
  • Reporting on collection activity to upper management

Staff Accountant

The Staff Accountant position will report directly to the Accounting Manager and will involve a variety of general accounting functions, including but are not limited to:
  • Corporate:
    • Preparation of month end adjusting journal entries as needed
    • Preparation of monthly account and bank reconciliations
    • Provide assistance with interim and year-end audits
  • Divisional:
    • Setting up new projects in ERP system in accordance with contract terms
    • Working with technical project managers on preparing and issuing invoices to clients
    • Contacting clients regarding aged receivables if necessary
    • Posting of daily cash receipts for division
    • Review of expense reports for compliance with Corporate policy, project coding and proper documentation
    • Responding to management and client requests for ad hoc reports
JOB REQUIREMENTS:

  • 1-3 years of experience in accounting or equivalent educational experience

Senior Energy Analyst (THERM)

As part of our growth, we are currently looking for a motivated Senior Energy Analyst with 2-5 years experience to join our Energy Modeling group within our Energy Services Division. The Senior Energy Analyst will support Energy Project Managers and will be involved in high-profile sustainability projects – locally, nationally, and internationally - with the opportunity to work with major real estate developers, award-winning design firms, and top tier construction companies. The Senior Analyst will also be a technically proficient team player integrated into a team of talented professionals who have completed over 350 LEED projects worldwide, at the forefront of energy and materials innovation, and have been actively involved in the U.S. Green Building Council since its inception. Our project types are broad, including offices, multi-family residential (mid & high-rise), assembly, natatoriums, and art galleries and project sizes typically range from 100k to 2 million square feet. This position will report to the Principal within our Energy Division. If a junior applicant (2-3 years experience), you will be trained on construction materials and techniques with a focus on hygrothermal aspects. If a senior applicant (3-5 years experience), you will exchange information about techniques and methods, broadly collaborate with other Vidaris groups from concept through construction and manage client contact. Other general responsibilities include, but are not limited to:
  • Perform calculations of U-value for various building assemblies (walls, thermal bridges, fenestration, roofs, etc), spanning the entire range of construction in multiple climate zones.
  • Perform dewpoint analyses
  • Document and maintain well written reports on project related activity
  • Communicate effectively and establish relationships with job related management teams
  • Provide cross-functional support to ensure client needs and internal timelines/project activities are completed

The candidate we are seeking will have the following qualifications, skill sets, and experience:
  • Bachelors or Masters degree in Mechanical, Aerospace or Civil Engineering, Physics or Architecture;
  • US project experience with envelope U-value calculations using ASHRAE 90.1 Appendix A and THERM. (University course experience does not meet the requirement)
  • Knowledge and experience with ASHRAE Envelope section is required
  • Experience with COMCheck, WUFI, and CFD is preferred
  • Experience with building energy modeling using DOE-2, eQuest or EnergyPlus is a plus;
  • Knowledge of heat transfer, thermodynamics, and HVAC equipment;

The Energy Analyst will support Energy Project Managers and will be involved in high-profile green projects – locally, nationally, and internationally - with the opportunity to work with major real estate developers, award-winning design firms, and top tier construction companies. The Analyst will also be a technically proficient team player integrated into a team of talented Vidaris professionals who have completed over 350 LEED projects worldwide, at the forefront of energy and materials innovation, and have been actively involved in the U.S. Green Building Council since its inception. This position will report to a manager within our Energy division and will involve a variety of general functions, including but not limited to:
  • Learn modeling procedures of Vidaris
  • Model buildings using eQuest and/or EnergyPlus
  • Train in areas related to modeling (e.g., on architectural issues if the main experience is HVAC)
  • Document and maintain well written reports on project related activity
  • Communicate effectively and establish relationships with job related management teams
  • Provide cross-functional support to ensure client needs and internal timelines/project activities are completed

Vidaris and its affiliates provide Building Envelope, Energy, Code, Dispute Resolution and Project Advisory consulting services supporting the development, construction, or redesign of assets in commercial market sectors.
